APPOINTEESHIPS
How we manage client money — in practice
A clear, repeatable process that protects clients, prevents
arrears and makes sure money is used in their best interests.
Step 01
Benefit maximisation & full financial picture
Reach out to the client and (where relevant) their
support provider to confirm regular outgoings.
Confirm what income is currently in payment
(DWP benefits, pensions and other sources).
Liaise with the DWP to ensure all benefits are in
place and being paid correctly.
Apply for new benefits where required and request
uplifts if the client is on the wrong rate.
Make sure the client receives the right income.
Step 02
Weekly personal money for shopping & activities
As soon as DWP income is received, we prioritise
the client’s personal funds first.
Agree typical weekly spending with the client
(food shop primarily) and any activities they enjoy.
Clients can request additional funds for emergencies
& personal well-being choices.
Pay to a prepaid card, the client’s private account,
or to the care home (residential placements).
Clients have regular access to personal funds.
Step 03
Bills, providers & council updates
Use our DWP authority to speak with utilities,
landlords, providers and (where needed) debt companies.
Update all local authority, bill and provider bank
details so payments come from the correct client account.
Request statements to confirm usage, current balances,
any arrears and projected costs.
Check tariffs/rates and add clients to priority
registers where appropriate.
Keep essential services stable and affordable.
Step 04
Arrears prevention & payment plans
Identify arrears and projected costs using statements
and usage information.
Set up direct debits and negotiate payment plans
to prevent debt escalating.
Apply discounts (e.g., WaterSure) and ensure council
tax banding/exemptions are correct.
Work with Financial Assessment teams so care charges
are accurate and include DRE (incl. ILBP fee where
applicable).
Reduce risk of debt and disputes.
Step 05
Weekly saving for resilience
Ensure every client saves each week to reduce
financial stress and improve stability.
Build a buffer for emergencies, additional requirements,
birthdays, Christmas and one-off requests.
Maintain a sensible savings threshold for each client
so support is available when needed.
Review savings alongside budgets so saving remains
realistic and sustainable.
A financial safety net for every client.
This process is supported by clear records, safeguarding checks
and transparent reporting.

FAQs
Common questions about how ILBP manages client money.
How is a client’s weekly personal money worked out?
We speak with the client and, where relevant, their support
provider to understand typical weekly costs such as food
shopping and activities. This helps us agree a realistic
weekly personal allowance.
Can ILBP help reduce bills and maximise income?
Yes. We liaise with the DWP to ensure the client receives
the correct benefits, apply for additional entitlements
where appropriate, and review tariffs, discounts,
exemptions and payment plans.
What happens if a client already has arrears?
We contact providers, obtain statements, assess the position
and arrange payment plans where needed to prevent debt
from escalating further.
Is money set aside for emergencies?
Yes. We aim to ensure every client saves each week so
there is a buffer for emergencies, birthdays, Christmas
and other additional needs.
